Most couples begin wedding planning with excitement, a saved folder full of inspiration, and absolutely no idea what they actually need versus what simply looks beautiful online.
Between wedding invitations, table plans, place cards and wedding signage, it can quickly feel overwhelming. So let’s strip it back and talk honestly about what you actually need when it comes to wedding stationery. I’ve been a wedding coordinator for a venue and I’ve been in the stationery business since 2017, plus I’m married too, so I would like to think I know what I’m talking about.
Wedding Invitations (and why they still matter)
Let’s start with wedding invitations. Your wedding invitation design sets the tone for your entire celebration. It is the first real glimpse your guests get into your day and your style, and I will say it plainly…
If you want digital invitations, go digital. There are some brilliant, efficient, and beautifully designed options out there.
But for me, there is nothing quite like receiving a physical wedding invitation in the post. A beautiful envelope landing on your doormat. Something your guests can open, hold, and actually experience. Unlike emails that disappear into inbox chaos, bespoke wedding invitations give your guests something tangible to keep, refer back to and actually remember. On the Day Wedding Stationery (what you actually need)
This is where things can spiral into Pinterest overload very quickly, so let’s simplify your on the day wedding stationery checklist.
Wedding Welcome Signs
A wedding welcome sign is a lovely detail, but it is not essential. It sets the tone and creates a moment when guests arrive, but it is not something your day relies on. Beautiful, yes. Mandatory, no. Consider how it might be re-purposed as a piece of artwork in your home, after the Big Day?
Wedding Table Plan (this one is non-negotiable)
If you are having more than 20 guests, you need a wedding table plan. A clear table seating plan removes confusion, avoids awkward hovering, and ensures guests can move into your space seamlessly.
No one wants to stand at the entrance wondering where they are meant to sit while quietly panicking about group dynamics.
Wedding Place Cards (name cards)
Technically optional, but practically transformative. Wedding place cards (or name cards) ensure your seating plan actually works. They take away guesswork, speed up seating, and allow guests to relax the moment they sit down.
If you want a smooth, considered guest experience, this is one of the most effective pieces of wedding stationery you can invest in. Go with paper or even go with something completely unusual, like a pumpkin, leaf or a tambourine. The magiv happens when your place card is also a favour for your guests - who doesn’t love something personalised!
Wedding Menus
Wedding menus are a beautiful finishing touch and a great way to elevate your tablescape. If you are offering a choice menu, menu cards for weddings are a helpful reminder for guests at their place setting.
If you have a set menu, you really do not need individual menus at every seat. Save your budget and put it towards more wine. It is always better received!
Wedding Table Numbers or Table Names
Wedding table numbers (or table names) are essential. They keep your wedding table plan working in real time and ensure guests can find their seats without confusion. This is one area where practicality and design should absolutely meet.
Everything Else (the “nice to have” list)
Beyond this, most wedding signage and wedding stationery items fall into the “nice to have” category rather than essentials.
Lovely additions, yes. Necessary for your day to function, no.
